Gum Arabic Buyer Specification and Supplier Questionnaire Templates

An effective specification separates the buyer’s requirement from the supplier’s response. It also separates product identity, analytical limits, processing controls, supporting documents and commercial terms instead of compressing everything into “food-grade gum arabic”.

Both files are working templates, not preset specifications. Complete them with the technical, regulatory and quality teams responsible for the actual application.
Start with product identity
Record the commercial grade, botanical declaration, origin, processing site and physical form. “Powder” should be expanded to mechanically milled, spray dried, agglomerated or another defined process. “Crystals” should state the cleaning, sorting and size description expected.
The applicable specification must travel with the RFQ. If suppliers quote against different forms or methods, create a deviation table before comparing price.
Write measurable requirements
Each analytical or microbiological row should contain:
- the parameter;
- the acceptance limit;
- the unit;
- the named method and preparation where material;
- the testing frequency;
- the evidence required with delivery.
Avoid inserting limits copied from another supplier’s data sheet without understanding the method or application need. The JECFA food-additive specification database is a useful identity and purity reference, but the destination market and buyer’s risk assessment still matter.
Keep certification scope visible
For every required certificate, request the certificate holder, exact site, activity scope, issuing body and validity dates. A logo or sales statement should never be entered as equivalent to an applicable certificate.
The commercial section should state MOQ, sample route, lead time, pack format, Incoterm, quotation validity and payment terms. Those items determine whether a technically acceptable offer is operationally usable.
